Computer Maintenance Recommendations

Even the best software can be enhanced with simple computer maintenance. Follow these tips to ensure that your system and SiteLink software run efficiently and smoothly..

  • Empty temporary Internet files often or set the browser to delete them automatically.
  • Defragment the hard drive once a month.
  • Make sure your anti-virus program is up-to-date. Many free anti-virus systems as well as “registry cleaners” don’t always differentiate between legitimate programs and malware and sometimes delete or impede operation of programs users depend on daily.
  • Instead, purchase and maintain a reputable Internet security program featuring anti-virus and spyware protection. These systems also protect against malicious web sites.
  • Update Windows with all the latest system updates. The best way to do this is to leave the automatic update feature turned on. Your web-based management software vendor will also automatically update your management software; you no longer need to load CD ROM updates or manual downloads on each computer.
  • Due to gate software operations, perform a regular reboot if you leave your system running for long periods of time.
  • Do not leave flash drives plugged into the USB to prevent file loss.
  • Maintain regular backups and keep some backups offsite in case of fire, flood, etc. For optimal protection, users should migrate to a web system; reputable web system vendors build in two avenues of protection single operators cannot duplicate easily:
    • Web systems that automatically back up your data.
    • Redundancy. Web systems should mirror your data on multiple servers at reputable data centers (web hosting companies). They should also back up to multiple devices stored outside of the data center.
    • Use compressed air found at computer and office supply stores to blow dust from the rear and inside of the computer tower every six months. Excessive dust can trap heat inside, and heat and modern CPUs together cause major problems. Use compressed air to clean your keyboard and mouse too.
  • Delete old or unused documents, files and emails. Regularly empty your deleted items folder in Outlook/Outlook Express as well as your computer’s recycle bin.
  • Buy an uninterruptible power supply such as battery backup. Brief power outages are common during storms, and data corruption can occur in your data and Windows files if the computer is not shut down properly. A UPS allows time to shut the PC down the correct way.
  • Stop any unneeded programs from running at system startup by using Microsoft’s built-in msconfig tool.
  • Limit email use, don’t open unexpected email attachments (especially .exe files), and don’t click on hyperlinks in emails.
  • Use ‘strong passwords’ containing numbers, capital letters and symbols.
  • Don’t give every user admin-level access to your computer or management software.
  • Upgrade to SiteLink Web Edition. A PC-based management software system is difficult, costly and often unreliable to maintain and make regular off-site backups. Even if you subscribe to a web-based backup system of the PC-based files, the system will fail if Internet service is temporarily unavailable. The ultimate protection comes from a web system; it safeguards users’ data behind more levels of protection and offers more redundancy than PC-based systems can.
  • Demand your management software meet two important security standards:

These two standards tell users their management software follows the stringent rules that accountants and credit card companies demand. PCI rules ensure the software is safeguarded against hackers and computer thieves.

When in doubt, call your management software’s tech support! A good management software vendor will always help; preventing damage is much easier and safer than having to fix infected systems later.
